We are seeking a highly organised and proactive Administrative Assistant with experience in financial planning or financial services to support our advisory team. This is a key role within the business, providing high-level administrative, client service, and office support to ensure smooth day-to-day operations and an excellent client experience. This position is ideal for someone who thrives in a fast-paced environment, enjoys working with systems and processes, and is looking to build a long-term career within financial services. Key Responsibilities • Manage adviser calendars, schedule meetings, and coordinate client appointments. • Act as a primary point of contact for clients, providing professional and timely communication. • Prepare client documents, reports, Statements of Advice (SOAs), Records of Advice (ROAs), and meeting materials. • Assist with client onboarding and maintain accurate, compliant client records. • Gather and collate financial information to support the preparation and implementation of financial plans. • Update and maintain CRM systems and financial planning software. • Liaise with external providers, product issuers, and service partners. • Support daily office operations, including managing supplies, coordinating vendors, and assisting with workflow and process improvements.
